CHAIR ROLE DESCRIPTION
COMMITMENT: Approx. 2 hours per week
Role Summary:
• Provide leadership and direction to the Committee and should be able to demonstrate skills
in facilitation, strategic planning and team development
• This Chairperson is critical to the long-term success of the club
• Ensure the club carries out its core purpose as set out in the constitution
• Work in partnership with the Committee helping them achieve the aims of the club
Typical responsibilities:
• Support the efficient running of the club
• Chairing regular committee meetings and the Annual General Meetings (AGM)
• Leading the formulation of the Club’s Strategic Plan, it’s monitoring and evaluation
• Ensuring an understanding of the legal responsibilities of the club
• Recruiting new committee members, taking into consideration skills, experience and
diversity as well as ensuring they understand good governance and leadership practise
• Build positive relationships with club members, ensuring new visitors and members to the club are welcomed and onboarded.
• Representing the club at local and regional events
• Assist the club to fulfill its responsibilities to safeguard children and vulnerable adults
• Taking responsibility for identifying conflicts of interest and declaring, recording and
managing these appropriately
TREASURER ROLE DESCRIPTION
COMMITMENT: Approx. 3 hours per week
Role Summary:
• Be responsible for the financial supervision of the club
• Operate as the chief financial officer
• Set annual budgets for the club with the Chair and relevant Committee members
• Set and oversee financial systems and controls
Typical responsibilities:
• Managing the club’s income and expenditure in accordance with club rules
• Producing an end of year financial report
• Identifying a suitable individual (Auditor) to independently review the annual accounts
• Regularly reporting back to the club committee on all financial matters
• Efficient payment of invoices and bills, such as affiliation, shuttles and court costs
• Proposing amendments to annual and weekly subscriptions as appropriate
• Depositing cash and cheques that the club receives
• Keeping up to date financial records
• Taking responsibility for personal conflicts of interests and declaring these appropriately
SECRETARY ROLE
COMMITMENT: Approx. 1 hours per week
Role Summary:
• Ensure meetings are managed according to the requirements set out in the club rules
• Keep a record of meetings and disseminate relevant information
• Deal with club correspondence
• Monitor and record the result of club elections and votes
Typical responsibilities:
• Being the first point of contact for general club enquiries (excluding league match correspondence that is the responsibility of the Match Secretary)
• Organising and attending key meetings (including Annual General Meetings)
• Taking and distributing minutes
• Supporting timely communication with members, external bodies or other partners
• Leading annual club and Team affiliations, supported by Treasurer and other Committee members
• Ensuring insurance is up to date and relevant
MATCH SECRETARY ROLE
COMMITMENT: Approx. 1 hours per week
Typical responsibilities:
• Being the first point of contact to the league and other clubs for match related communication
• Leading the creation of the match fixtures for all teams at the start of the season
• Supporting timely communication with Team Captains and other clubs with any subsequent changes
• Attending key meetings (including Annual General Meetings)
TEAM CAPTAIN ROLE
COMMITMENT: Approx. 2 hours per week
Typical responsibilities per team:
• Ensure all members of the team are informed of league matches and/or training arrangements
• Inform the team of travel and meeting arrangements for home and away matches
• Work with other committee members to recruit players
• Share team news to the wider club, e.g. via Spond
• Encourage players to conduct themselves in a professional manner whilst representing the club
• Liaise with team members regarding optional competitions
• Attend committee meetings
• To support that new visitors and members to the club are welcomed and onboarded.
HEAD COACH ROLE
COMMITMENT: Approx. 2 hours per week
Typical responsibilities:
• To take responsibility for organising the club’s coaching or training sessions
• To undertake training appropriate to the role and keep up to date with coaching best practice
• To attend club meetings and report on progress
• To support Team Captains in the selection of teams, if requested
• To recruit and support new visitors/members to the club are welcomed and onboarded.
WELFARE OFFICER ROLE (No Junior teams/club is part of role)
COMMITMENT: Approx. 1 hours per week
Typical responsibilities:
• To assist the club to fulfil its responsibilities to safeguard vulnerable and young people
• To act as the first point of contact for coaches, volunteers, parents and children/young
people if concerns are identified.
• To ensure new visitors and members to the club are welcomed and onboarded.
• To sit on the Club Committee and attend club meetings.
• To register with Badminton England as a Welfare Officer in order to receive updates
and relevant information direct from the governing body.
• To promote and ensure confidentiality is maintained.
• To have a commitment to, and promote equality and diversity.
• Supporting identification of conflicts of interest and declaring, recording and
managing these appropriately
PUBLICITY OFFICER ROLE
COMMITMENT: Approx. 1 hours per week
Typical responsibilities:
• Promote and raise the profile of the club in the local community and the surrounding area
• Coordinate club news across all teams and forward these onto social media and/or local press
• Editor of club newsletter (biannually)
• Encourage Team Captain to share team news to the wider club
• Promotion of club events
• Attend committee meetings
SOCIAL COMMITTEE ROLE
COMMITMENT: Approx. 1 hours per week
Typical responsibilities:
• Promote and encourage regular social gatherings
• Coordinate with committee and club members to organise events
• Attend committee meetings
